What we process, why, and on what basis

What we doWhich dataWhy we may do so
Activating your licence and keeping it validYour name or company name, VAT number, address, email address, telephone, plus a technical characteristic of the computer you use Trikker on and the name you gave that devicePerformance of our agreement (Art. 6.1.b)
Keeping your customer file and invoicingYour contact and invoicing details, your orders and paymentsPerformance of our agreement (Art. 6.1.b) and our accounting obligations (Art. 6.1.c)
Helping you through the helpdesk or the chatWhat you write to us, your name and email address, and the licence data relevant to your questionOur legitimate interest in helping you well (Art. 6.1.f)
Measuring our websiteVisit data through Google AnalyticsYour consent, requested through the cookie banner (Art. 6.1.a)
Contacting you about an expiring educational licenceYour name, email address, telephone number and school, and the licences that are expiringOur legitimate interest in renewing an existing customer relationship (Art. 6.1.f)

The technical characteristic of your computer is not a fingerprint of you: it is a value that recognises the device, so your licence stays tied to one computer. We do not process sensitive data such as health, religion or political preference, and we never ask for it.

Artificial intelligence in our helpdesk

We use a language model to draft replies and to staff the chat on our website. For that, the content of your message goes to Anthropic PBC, our processor in the United States. A colleague reads and sends every reply: no decision about you is taken by a computer alone. So do put your question in plain language, but do not send us data you do not need in order to ask it.

Who we share your data with

We do not sell your data and do not use it for third-party advertising. We share it with the parties we need in order to work: Odoo (our business software, hosted in the EU), Stripe (payments), our accountant, Microsoft (email and collaboration), Google (website statistics), Anthropic (the language model above), our payroll agency for our own staff administration, and the agency that contacts schools about an expiring educational licence. Each of them may use your data only for what we ask.

Outside Europe

Most of your data stays within the European Economic Area. Data goes to the United States with three parties: Stripe for payments, Google for website statistics and Anthropic for the helpdesk. Those transfers rest on the EU-US Data Privacy Framework and on standard contractual clauses approved by the European Commission. Would you like the details, ask for them through info@trikker.be.

How long we keep your data

DataHow long
Your licence and contract dataAs long as you are a customer, and at most ten years after that
Invoices and accounting recordsSeven years after the close of the financial year, because the law requires it
Helpdesk ticketsAt most five years after the ticket is closed
Website statisticsFourteen months

If a dispute is running, we keep the data concerned until it is settled.

Your rights

You have the right to see your data, to have it corrected or erased, to have the processing restricted, to object, and to receive a copy in a common file format. If you give consent for cookies, you can withdraw it at any time; what we processed before that stays valid.

You change your address, email address and telephone number yourself in the customer portal, which is also the fastest route. Your company name and company number we change, because those appear on your licence.

To exercise one of your rights, email info@trikker.be. We answer within one month. If your request is complex we may extend that by two months, and we tell you so within the first month. It costs you nothing. We may ask you for extra information if we are not certain it is you, and we never release data of a company other than your own.

If you disagree with how we handle your data, tell us first. You can also always lodge a complaint with the Belgian Data Protection Authority, Drukpersstraat 35, 1000 Brussels, contact@apd-gba.be, or go to court.
